Setting a sub-organization or department on FPT.eContract

To create a sub-organization or department in a business on FPT.eContract software, users or admins can follow the following steps:

1. Go to “Organization Administration”, select “Add Organization” button.

2. Fill in the information requested

  • Business name: Name of the sub-organization
  • Abbreviation: Abbreviated name of the sub-organization

4. Fill in the representative’s information:

If the filled email address is the same as the email address already is in the system, the system will report an error and ask the user to change another email address.

5. Save the new information: Select the “Save” button

  • The system will notify that you already add new successfully and send an activation confirmation email to the representative’s email account. The email includes a confirmation link and confirmation code.
  • At this time, in the “Organization list” screen, the information of the new sub-organization has been added, but below there is a status: “The admin account has not authenticated”.

6. The representative will receive an confirmation email with the following content:

According to Mr. Vinh’s analysis, electronic transactions can be applied to most transactions today, except for a few exceptions. Specifically, according to the Law on Electronic Transactions 2005, transactions related to certificates of land use rights, home and real estate ownership, documents on inheritance, marriage registration, divorce decision, declaration birth, death, etc., electronic transactions are not applicable. How to create user groups on FPT.eContract

User groups are created to decentralize data. Users in the same group will be granted the same data permissions. When sharing and delegating data to a group, all users in that group will have the right to use and modify the data shared to that group.

There are the following types of groups in organizations:

  • An organization will have the default group (ADMIN), and may have other groups created by the Admin account.
  • The ADMIN group is a group that cannot be deleted.
  • The ADMIN group will be able to use the Contract Templates shared within the organization; view contracts which are in progress, view/download/share completed contracts of users in the organization.

1. Create a new group

  • Go to “Organization”/”Group Administration”, select the Group button. Add a group, Rename and Save.
  • To cancel adding a group, select “Cancel” button, no new group will be added to the list.

2. Edit user group name

  • Go to “Organization”\”Group Administration”, select the edit button on the group you want to edit.

  • Rename the group as you want. To save the updated group name, select the “Save” button, select the “Cancel” button if you want to cancel the process.

3. Delete user group

  • Go to  “Organization”\”Group Administration”, select the trash can button on the group you want to delete.
  • The system will displays a Popup asking you to confirm the delete action. Select the “Delete” button if you want to delete, select the “cancel” button if you want to cancel the process.

Note: If the group is deleted, the user in the group will not be able to see the Contracts or Contract Templates shared to the group.

4. Manage group users

There are 2 types of users in the organization: Users with an Admin account and users with a regular account. Each organization created will have 1 admin account of that organization.

  • The Admin account has access to all system menus.
  • The regular account is usually an account created by the organization’s admin account, which usually doesn’t have access to “ORGANIZATION” function on the menu

5. View the list of users

To view the list of users of the organization, go to the “Organization”\”User Administration” function, which will display a list of users including Admin and other regular user in the organization.

6. Add a new user

To add a new user, go to the “Organization”\”User Administration” function, select the add user button.

  • Fill in new user information:

o In the upper left corner, there is a check box “Active” allowing to check or uncheck. If the check box is checked, the user account after being added to the list will be active and vice versa.

o Compulsory information includes: Last name; First name and middle name; Email; Phone number

o The email entered must not be the same as the email already provided with the accounts in the system. If there are duplicated emails, the system will notify the user. At this point you can enter another email account or contact FPT.eContract support for instructions.

  • Select the “Save” button to save the new information or “Cancel” button to cancel the process

7. User lock/unlock

  • On the User List, users with active status will have a blue button, users with a suspended status will have a red button. When a user is “locked”, the account cannot log in to the system and vice versa.
  • Admin will set “Lock” or “Unlock” for users to manage users accessing the system.
  • To lock a user: Go to “Organization”\”User Administration”, click on the button “lock”, the button is grayed out, which means the account is locked.
  • To unlock a user: Click the “unlock” button, the button turns green, which means the account is unlocked and can access the system.

How to install digital signature tool on FPT.eContract

User can easily install the digital signing tool on FPT.eContract to complete the signing of an electronic contract by following these steps:

1. Download the installer to the workstation from the website https://econtract.fpt.com.vn

2. Double click the file FPT.eSignatureIntaller.msi.

The system displays the settings screens. Click the Next button to install.
3. After installation is complete, the program runs permanently in the computer as shown.

Users are advised to ensure that the FPT.eContract Plugin is enabled before start signing. In case the tool is not enabled, when the user chooses to digitally sign, the system will notify “cannot connect to FPT.eContract Plugin”.

How to update or create a contract from a draft contract on FPT.eContract

Draft contract is electronic contracts in the process of creation but not yet completed or contracts copied from contracts which are in progress, canceled, rejected or overdue.

To update and create an electronic contract from a draft contract on FPT.eContract, users can follow the following 2 steps:

1. Update a contract:

  • Select “Document” -> select “Contract” (on the left of the menu) ->  select “Draft”.
  • At the Draft screen, select the contract needed to edit. Click on the pencil icon to update the contract.

  • The system displays the list of previously uploaded files

2. Upload a contract to update:

Thus, with two steps above, users can immediately have an e-contract and ready to design the signing process. As long as one party signs a contract using FPT.eContract, the other party who does not have FPT.eContract account can still receive notifications via email or text message to log in to the platform to sign.

3. Remove a contract

Regardings the old contracts that need to be deleted, how should we handle it? To delete a draft contract, users will follow the following steps:

  •  Access Contract List
  • Select “Document”, select the item “Contract” (on the left of the menu), select the item “Draft”.
  • At the “Draft” screen. Select the contract you wants to delete. Click on the trash bin icon to delete the contract. The system will ask you for confirmation of contract deletion.
  • To confirm deletion, select “Delete”, this contract is permanently deleted from the system. To cancel the process, select “No”.

In order for the user to manage all the electronic contracts that are created, the “contract management” function will assist in monitoring the status of the contract. E-contracts will fall under one of the following categories in contract management depending on the contract’s status:

View contract history: this can be done from the following functions

  • List of draft contracts
  • List of pending contracts
  • Co-completed list
  • List of canceled contracts
  • List of rejected contracts
  • List of expired contracts

Copying a contract is a form of duplicating contracts from existing contracts in the system, copying a contract means saving time and effort to create a new contract. Copying an electronic contract can be done from the following functions:

  • List of draft contracts
  • List of contracts in progress
  • Co-completed list
  • List of canceled contracts
  • List of rejected contracts
  • List of overdue contracts

To copy an electronic contract, go to the Contract List function, select the “Documents” menu, select the “Contract” item in the left menu, select the “Processing” item.

  • The system displays the contract copy screen with the following information: New contract name, Cancel, Save function button.

How to Cancel – Delete the contract on FPT.eContract

During the operation on FPT.eContract, if an error is detected, the creator can easily cancel the electronic contract during the implementation process (not yet completed). When the electronic contract is canceled, it will no longer be valid, the system will stop sending emails to the next executors.

  • After Cancellation, all executors cannot access, view contract.
  • Contract after cancellation will be displayed at Cancel function.
  • The system sends email notification of contract cancellation to executors who know that the contract has been canceled

Steps to delete the electronic contract being processed:

  • Enter the Contract List function:
  • Select the menu “Document”, select the item “Contract” in the menu on the left, select the item “Processing”. At the Processing screen, select the contract to cancel, select the Æ icon to cancel the contract.

The signing of FPT.eContract electronic contract can be done from email, applicable to signers who do not have an account or have an account at FPT.eContract.

Participants receive an email notifying them to sign/need to review the electronic contract. Email information includes: Contract name, creator information, link to view contract and login “Validation code”.

1. Access from email to view contracts:

Users can access to review/sign contracts from devices: computer, tablet, smart phone.

  • In case a user wants to sign a contract with a USB token, a computer must be used to receive a USB token device for digital signing.
  • To perform the review/sign, the participant selects the [View Document] button in the email, the system displays the access confirmation screen. Enter the email address to receive the notification email and the access code sent to the email at the access verification screen to view the contract content and review/sign the contract electronically.
  • The system displays the content of the contract, the data fields to be filled in.
  • Use the up and down scroll keys to quickly navigate to the page with the data field to fill in and the page with the signature.

2. Contract review

Review of an electronic contract is when a user receives a request to “Review” a contract to review and confirm the content of the contract before the electronic contract is transmitted to the next signers or reviewers.

  • The reviewer may have to complete some information on the contract if the creator requests. The information fields to be filled in are displayed in the contract with the format on picture.
  • After filling in the information boxes, the user selects the box to confirm reading comprehension and agree to the electronic document terms to move on to the confirmation step.
  • In case you have not filled in all the information, you want to save the filled content for the next time, the user selects the save. Filled information will be reserved for the user to continue processing in the following login session.
  • To download the contract, select the [Download] button.
  • If you agree with the contract content, select the reviewed button to confirm. System will switch the contract to view-only mode with the current user, and also send an email to the next handlers. The screen shows user status reviewed.
  • If you do not agree with the contract content, select the decline.

Note: The user’s DECLARATION at this step means that the electronic contract is stopped from signing flow and is no longer valid. The system sends an email notifying the rejected e-contract to the creator and those who have previously received the email processing this contract. The system stops sending review/signing requests emails to the rest of the people in the signing flow.

3. Sign the contract

Signing an electronic contract is when a user receives a request to “Sign” a contract and needs to review the contract content and sign a photo or digitally sign the contract. The signer may have to complete some information on the electronic contract if requested by the creator. The information fields to be filled in are displayed in the contract with the format as shown.

  • To sign a picture on the contract, move to the signing page with the quick switch ( / ), select the pen icon on the contract.
  • The system displays the signing screen allowing the user to choose: sign the image by downloading the file or draw directly on the screen.
  • After selecting an image or hand-drawing the signature, select the button to enter the signature in the electronic contract.
  • To edit the filled image signature, select the image signature again to redraw or select a replacement image file.
  • In case you have not filled in all the information, you want to save the filled content and image signature for the next time to return to further processing, the user chooses the button. Filled information and photo signature will be preserved for further processing by the user in the following login session.
  • To download the electronic contract to the workstation, select the download button.
  • After filling in the information boxes, the user selects the box to confirm that he has read and understood and agrees to the terms of the electronic document to move to the confirmation step of signing.
